Sepal Stays Pty Ltd (Sepal Stays, we, us or our) respects your privacy. This Privacy Policy explains how we collect, hold, use and disclose personal information when you use our website, enquire with us, engage our property-management services, or book accommodation with us.

This policy applies to property owners, guests, prospective guests and owners, suppliers, contractors, job applicants, website visitors, and people who contact or otherwise deal with us.

Personal information we collect

The information we collect depends on how you interact with us. It may include:

  • your name, email address, telephone number, postal address and other contact details;
  • booking, stay, guest-support and property-management information;
  • property, ownership, business and supplier information, including ABN and payment details where relevant;
  • identity or verification documents, where reasonably necessary for a booking, service, legal obligation or fraud prevention;
  • communications with us, including enquiries submitted through our forms, emails, phone calls and messages;
  • information you provide about accessibility needs or other requirements relevant to a stay; and
  • technical information, such as IP address, browser and device information, pages viewed, referral source and cookie identifiers.

We do not intentionally collect sensitive information unless it is reasonably necessary to provide our services, meet a legal obligation or address a request you have made. Please do not send sensitive information unless we ask for it.

How we collect information

We collect information directly from you when you use our website, submit an enquiry, make or manage a booking, engage our services, communicate with our team or subscribe to communications. We may also receive information from booking platforms, guests or people booking on behalf of others, property owners, suppliers, publicly available sources, and service providers that support our operations.

If you provide personal information about another person, you must be authorised to do so and should ensure they are aware of this policy.

Why we use personal information

We may use personal information to:

  • respond to enquiries and provide guest, booking and property-management services;
  • manage reservations, check-in, guest communications, payments, cleaning, maintenance and supplier relationships;
  • verify identity, prevent fraud, protect our guests, owners and properties, and maintain security;
  • send invoices, statements, owner reports and service communications;
  • improve our website, services and customer experience;
  • send marketing communications where permitted by law. You can opt out at any time using the unsubscribe link or by contacting us; and
  • meet legal, regulatory, insurance, accounting and record-keeping obligations.

Website services, cookies and analytics

Our website uses cookies and similar technologies. Some are necessary for the website to function and protect against misuse. Others help us understand how the site is used, measure performance, show third-party content or support our business operations.

As at the date of this policy, the following services and technologies are used on our website or booking platform:

  • Google Tag Manager and Google Analytics 4: to manage website tags and measure website use;
  • Cloudflare Web Analytics: for website analytics. Cloudflare also provides website security and performance services;
  • Beyond Pricing Beacon: a third-party script loaded on our website and booking platform;
  • Google reCAPTCHA and Google Maps: to protect enquiry forms from spam and display map content;
  • Gravity Forms: to collect and process website enquiries;
  • Hostfully: to provide our online booking platform at book.sepalstays.com.au; and
  • Stripe: to securely process payments made through the booking platform. We do not store full payment-card details processed by Stripe.

These providers may collect technical information directly through their services. Their handling of information is also governed by their own privacy policies. We may change, add or remove providers from time to time.

You can control cookies through your browser settings. Disabling cookies may affect some website features. Where required by law, we will seek your consent before using non-essential cookies or similar technologies.

When we disclose personal information

We may disclose personal information to service providers and contractors who help us operate our business, including booking platforms, payment processors, technology providers, cleaners, maintenance providers, accountants, insurers, professional advisers and marketing or analytics providers. We may also disclose information to government agencies, regulators, law enforcement, courts or other parties where required or permitted by law, or in connection with a business sale, restructure or transaction.

We only disclose information that is reasonably necessary for the relevant purpose and take reasonable steps to require service providers to handle it appropriately.

This can include providers with operations in the United States, the United Kingdom, the European Union and other locations where their systems operate.
